Participation and refunds policy

This participation and refunds policy applies to all sessions, circles, and courses facilitated by Anna-Marie Swan.

This policy reflects my intention to treat myself and all fellow adults as having agency and therefore being accountable for knowing what we have capacity for and how we are being in relationship, while having compassion for life's challenges and the things that happen that are out of our control.

This policy is activated when payment has been received for a one-off session or circle, or the first installment in a payment plan or the full payment for a multi-session circle or course has been received.

MENTAL HEALTH AND OTHER WELL-BEING

When practising ecological enquiry, we might notice, explore, and, if helpful, challenge personal and collective stories, beliefs, and language. If you are navigating mental health challenges or trauma, please note this work may ignite intense emotions.

That said, ecological enquiry is not therapy and I am not offering mental health services. I trust you will take care of your mental health external to the group and to consider your mental health and other well being needs and capacity when joining a course or circle.

 

ATTENDANCE AND SCHEDULING

I will open our zoom room 5 minutes early for all sessions, circles, and courses, for anyone that likes to arrive and settle in beforehand.

Life happens, including Zoom problems, so I give a few minutes leeway but please try to be on time in respect of my and our fellow participants' time.

 

CONFIDENTIALITY AND MARKETING

I work under strict confidentiality, meaning that I will not share any identifying information or data outside of circles or courses. If I do seek counsel in relation to my work with you, such as within an intervision session with fellow facilitators or with a coach, I will also not share any identifying information.

As a freelancer, it is important for my reputation to name organisations that I’ve worked with on my website or on social media sites, and to share about client work in general terms. If you prefer that I don’t do this related to you or your organisation, please reach out to annam@somethingbird.com

 

 

REFUNDS: ONE-OFF CIRCLES OR SESSIONS

Sometimes, despite your best intentions, life happens and you cannot attend a one-off session or circle that you have paid for. If this happens, you are welcome to find someone to join with your ticket. If you are unable to find a substitute, I will accept cancellations and issue refunds under the following conditions.

If for any reason I need to cancel a one-off session or circle, all fees will be refunded, including any booking fees. 

AT LEAST SEVEN DAYS BEFORE THE CIRCLE OR SESSION: 100% refund minus any booking fees
BETWEEN SIX AND THREE DAYS BEFORE THE CIRCLE OR SESSION: 50% refund minus any booking fees
LESS THAN THREE DAYS BEFORE THE CIRCLE OR SESSION, OR NOT SHOWING UP: No refund given

 

REFUNDS: MULTI-SESSION CIRCLES OR COURSES

Once a multi-session circle or course has started, I cannot invite a new participant, so if you leave after the first session or circle, I will not be able to replace that fee and the group will lose a member to learn from. I therefore don’t offer refunds once an initial or the full payment has been made and the multi-session course or circle has started, unless there are understandable circumstances that are out of your control. In these circumstances, I am happy to discuss refunding a percentage of the fee related to all further sessions, minus any booking fees.

If for any reason I need to cancel a multi-session circle or course before it starts all fees will be refunded, including any booking fees. If for any reason I need to cancel a multi-session circle or course part way through, all remaining fees will be refunded, including any booking fees.

BETWEEN THIRTEEN AND TEN DAYS BEFORE THE FIRST CIRCLE OR SESSION: 50% refund minus any booking fees
LESS THAN TEN DAYS BEFORE THE FIRST CIRCLE OR SESSION, OR NOT SHOWING UP: No refund given

 

 

MEANINGFUL PARTICIPATION

As the organiser and facilitating guide, my responsibility in relation to meaningful participation is to share as much guidance as I can about the session, circle, or course so that you have the information you need to decide if this work is a good fit and can meaningful participate. Sometimes this can include inviting you for a quick intro call, especially for multi-session circles or courses.

As a participant, your responsibility in relation to meaningful participation is to ensure you read through all the available information about a session, circle, or course, and how I work as the organiser and facilitating guide, so that you can decide if this work is a good fit and can meaningfully participate. If you have any concerns about participating and whether a session, circle, or course will be a good fit, please reach out.

If I see you struggling to participate meaningfully, I will reach out and see if I can support you. If we cannot find alignment between your participation and the efficacy of the group, you will be invited into a dialogue about ending your participation with an appropriate refund amount.

While it rarely happens, you will be removed from multi-session circles or courses if you do not show up and do not respond to attempts to communicate. You will not receive a full or partial refund in these circumstances.
